The ContentDM PowerPoint Plug-in

The ContentDM PowerPoint plug-in automates the process of importing Oviatt Library Digital Collections image records stored in My Favorites into a PowerPoint presentation. The following instructions have been adapted from http://www.dimema.com/help4/plugins/index.html.

Installing PowerPoint Plug-in

  1. Download the plug-in by clicking the following link: http://digital-library.csun.edu/CDM4PPTPlugin.exe and save it to your desktop.
  2. Click the downloaded file to install the PowerPoint Plug-in.
  3. Follow the installation directions on the screen.
  4. Note: If you have a previous version of the PowerPoint Plug-in installed on your machine, you will need to uninstall it before installing PowerPoint Plug-in Version 4.

Using the PowerPoint Plug-in

You need to save items to My Favorites before using the Plug-in to create a PowerPoint presentation. For help saving items, see Help: My Favorites. The plug-in supports image files only. Audio, video, and PDF files are not supported.

  1. Start PowerPoint.
  2. Open a blank presentation, an existing presentation, or use one of the templates provided in PowerPoint. If you use an existing presentation or a PowerPoint template, the background and font preferences will be maintained, but not the layout.
  3. Click the CONTENTdm button in the toolbar of the PowerPoint application. The CONTENTdm button is usually located in the upper left of the PowerPoint toolbar. An import wizard dialog box will appear.
  4. The first time you use the Plug-in, you will have to type in the URL of the Oviatt Library Digital Collections web site:
    http://digital-library.csun.edu
  5. Import summaryClick Next. The wizard will load items from My Favorites, and then a summary dialog box will list the total number of items in My Favorites.
  6. By default, items in My Favorites will be imported with their titles and searchable metadata fields. Uncheck the Metadata and/or Title checkboxes to limit the amount of data imported with your Favorites. (See below for information on Selecting Items, and Choosing Metadata to Import )
  7. Click Finish. Each item and its metadata will be imported into a separate slide.
    Note: If you have an item in your collection that is not supported, such as an MP3 or a WAV file, you will receive an error message. The metadata for that item will be imported, but the item itself will not be imported. All other items will be imported.

Selecting Items to Import

  1. Use the PowerPoint Plug-in wizard to import your items from My Favorites.
  2. On the summary dialog box, click Advanced. The Advanced screen will open, listing the images and metadata imported from My Favorites. You can view and select the items in one collection at a time; click the drop-down menu at the top of the screen to change the collection displayed.
  3. All items in the items tab are automatically selected for import. Clear the check boxes of any items that you do not want to import. Or use the Clear All and Select All buttons to quickly eliminate or add items for importing into your PowerPoint presentation.
  4. When you are finished defining your items, click OK to return to the summary dialog box.
  5. Click Finish to import your data into the PowerPoint slides.

Choosing Metadata to Import

The PowerPoint Plug-in imports the searchable fields in each collection. You can change this by specifying the fields to be imported:

  1. Use the PowerPoint Plug-in wizard to import your items from My Favorites.
  2. On the summary dialog box, click Advanced. The Advanced screen will open, listing the images and metadata imported from My Favorites. You can view and select the items in one collection at a time; click the drop-down menu at the top of the screen to change the collection displayed (see image above).
  3. Click the Metadata tab at the top left of the window. A list of the metadata fields for that collection is displayed. By default the searchable fields within the current collection are selected for import. The searchable metadata may vary for each collection.
  4. Check the box next to any field you want to import into your presentation; uncheck the box next to any field you wish to exclude.
  5. When you are satisfied with the metadata fields that you are importing for each collection, click OK to return to the summary screen.
  6. Click Finish to import your data into the PowerPoint slides.

Importing Compound Objects into a Presentation

Compound object importCompound objects that are saved in My Favorites can be imported into your PowerPoint presentations. The first page or image of the compound object will be imported along with the object metadata. Use the Advanced options to modify the import and add additional pages or metadata.

To modify compound objects before import:

  1. Use the PowerPoint Plug-in wizard to import your items into PowerPoint.
  2. On the summary dialog box, click Advanced. The Advanced screen will open, listing the images and metadata imported from My Favorites.
  3. Highlight the thumbnail image of the compound object and then click Expand. The Compound Object screen will opens, listing all the pages in the compound object.
  4. Check the box next to each page you wish to import, or click the Clear All and Select All buttons to quickly eliminate or add pages for import. The metadata for the entire compound object is automatically imported with the first page or image. To import the metadata specific to the first page or image, uncheck the box next to "Display document description with first page"
  5. Click OK. This returns you to the Advanced screen.
  6. Click OK. This returns you to the Finish screen.
  7. Click Finish when you are ready to add the items to PowerPoint.
