IGRA Easley Scores Project Workflow (Draft)

  1. To supplement the inventory compiled from the original collection catalog notes, Ron Purcell is reviewing each reel to annotate all the contents. He is creating reference sheets that note position of the score on the reel, number of pages, composer name, title, publication information, and transcriber/arranger. He is also making an initial selection of items for inclusion.
  2. Ron's notes are being transferred in to a series of workflow Excel sheets. The first, W:\IGRAEasley\EasleyWorkflowReels01-10.xls, covers reels 1-10. Additional spreadsheets will be created as the reels are reviewed.
  3. All the contents of the reels are to be scanned into TIFF format at 600 dpi, even if some items ultimately will not make it into the ContentDM database (see Creating TIFF Archival Images from Microfilm). Project scanning staff (Hai-Ling, Max) are to scan whole reels at a time for consistency's sake, recording the following in the workflow spreadsheet as progress is made:
    • the accession number of each score (serves as the basis for image identifiers)
    • the number of pages to be scanned for each score
    • scan date and initial
    • any remarkable information about the score (pages missing, duplicates, etc.)
  4. When a reel has been completely scanned, notify Digital Collections support staff (Elizabeth). Elizabeth will convert the images that are to be included in the database to JPEG format. These will include scores that have been selected by Ron, with the following provision:
    • all the pages of out of-copyright (published 1923 or earlier) scores. These will be saved to individual folders.
    • cover pages of copyrighted scores (published after 1923)
  5. IGRA cataloging staff (Matt, Diane, Marivic, Milton, Gina) will use the JPEGs in W:\IGRAEasley\JPEGs\ to create ContentDM records (see Content Guidelines for field definitions and use). The scores to be cataloged in the first run through are noted with a # next the the reel/score number or composer name on the Excel sheet. The other scores will be cataloged in their entirety or just the cover after the initial set of scores have been cataloged. The # denotes scores deemed most valuable by the curator, Ron Purcell.
